Appointment communications management module

The Communication management module allows the administrator account holder to customize certain elements of your clinic's appointment communications.

The available configuration options include:

⚠️ Only authorized individuals may use the administrator account. This access can be granted upon request by the designated person(s) in your clinic.

Enable or disable appointment duration display

By default, the appointment duration is shown in appointment communications and on the online appointment booking portal. If needed, you can disable the display of duration in all communications.

  1. Log in using the administrator account.
  2. Click on Manage activities, then on Manage communication.
  3. Toggle the Display appointment duration switch to the left to disable the duration display in communications.

Enable online appointment cancellation by the patient

You can allow patients to cancel their appointments directly from the appointment communications (booking confirmation and reminders), helping to reduce phone line traffic and quickly free up time slots for other patients. This setting applies to all appointment types (activities) for which communications are sent.

To do so:

  1. Access the Administration module.
  2. Click on Manage activities, then Manage communications.

  3. Activate the switch to allow patients to cancel their appointments. The switch must be placed to the right (blue) for the feature to be activated.

  4. Select a penalty period (optional). The penalty period indicates the time from which the patient is automatically registered as a no-show for the appointment. The patient can still cancel their appointment beyond this period. In the absence of a penalty period (0 hours), no absence is recorded in the file. The patient is not automatically informed of the penalty period. It is possible to inform them of this in the cancellation policy.
  5. Write the cancellation policy to be displayed in appointment communications to patients. This policy is mandatory when a penalty period is configured, but optional if no penalty period is configured.
