🔏 Security is a priority at Omnimed, and multi-factor authentication (MFA) is mandatory for all users.
Multi-factor authentication enhances the security of your account and personal information stored in the electronic medical record. This protection is part of the minimum security measures required by Quebec's ministère de la Cybersécurité et du Numérique.
- What should I do before setting up multi-factor authentication?
- Configure the authentication app (strongly recommended) and save recovery information
- Configure SMS authentication (optional)
What is multi-factor authentication?
Multi-factor authentication (MFA) involves entering a one-time validation code to verify your identity in addition to your password during login. This code is delivered to you via an authentication app or SMS. For more information, see Learn more about multi-factor authentication.
What should I do before setting up multi-factor authentication?
- Contact your IT support and management team. Your organization offers various options for implementing multi-factor authentication; consult your organization's cybersecurity policy or IT support team. They can guide you on available options and specific requirements for your organization. Additionally, they can assist you through this process change.
- Allocate uninterrupted time. Ensure you have a stable internet connection and can focus without interruptions during configuration (estimated time between 5 and 10 minutes) to complete the configuration smoothly.
- Learn more about authentication methods. Omnimed offers two authentication methods: through an authentication app and via SMS. We recommend configuring both methods so you can access your account in any situation. If one method encounters issues, the other provides a backup. It is your responsibility to ensure continuous access to your backup method.
Configure the authentication app (strongly recommended).
An authentication app generates a validation code every 30 seconds. Several free authentication apps are available. Below are examples of recommended apps; refer to your organization's policy or IT support team for guidance on choosing one.
Steps to follow :
- Access the login page at app.omnimed.com/omnimed
enter your username and password. Click on Login. - Select the Set up option under Authenticator app :
- Download an authentication app on your device. You can download one of the recommended mobile apps by clicking on the download links below or download any other app recommended by your organization. If you are already using an authentication app, proceed to the next step.
Dowload Google Authenticator
Dowload Microsoft Authenticator
Dowload Twilio Authy Authenticator - Complete the installation of the app on your device.
💡 To easily access the authentication app, Omnimed recommends placing it on your phone's home screen. - Open the authentication app on your device and scan the QR code or manually enter the authentication key displayed on the screen to add the authentication key to your app.
⚠️ Do not scan the QR code directly with your device's camera. It is important to open the authentication application and then scan the QR code so that your Omnimed account is associated with the right application.
A confirmation message for adding the account will appear on the screen. - Click on the Print button to save your authentication key (QR code) and your five single-use recovery codes. This allows you to keep a copy of your authentication key (QR code) and recovery codes.
The print window will automatically open. You can either print directly or download as a PDF.
⚠️ Keep your authentication key and recovery codes securely.
The authentication app provides recovery mechanisms to access your Omnimed account in all situations, for example:
- If you forget your cell phone, you can use a single-use recovery code instead of the validation code to log in.
- If you lose your cell phone, you can use the authentication key (QR code) to set up a new device.
We strongly recommend storing them in a password manager or a secure location (electronic or paper format) accessible from all locations where you use the EHR (home, office, etc.), and not storing them solely on your cell phone.
7. Click Confirm to continue.
8. Enter the validation code generated by the authentication app in the Validation code field on the Confirm activation of the authenticator app window.
ℹ️ When logging in to Omnimed, the authentication app does not send a notification when a validation code is available. You should open the app to obtain the code.
9. Name your device in the 'Device name' field to identify the device where you configured the app. For example: Sophie's cell phone Pixel 7.
10. Click on the Confirm button. If you receive an error message This code is not valid, reopen the authentication app to obtain a new code.
🎉Your authentication app is now configured! As confirmation, an email will be automatically sent to the address associated with your Omnimed user profile.
11. Click on Add a second method to set up SMS authentication (optional) or enter the validation code, then click Login to directly access the Omnimed homepage.
