The appointment booking portal enables patients to book appointments independently at any time of day, without having to wait for the clinic line.
A. Identify yourself
- Once on the appointment portal, the patient must identify himself to allow the system to recognize the types of services for which he is authorized to book an appointment.
- Accept the terms and conditions.
- Click on the Save and Continue button at the bottom of the box to be directed to the service selection.
Patient identification
✅ It is mandatory for the patient to provide at least a cell phone number or an email address.
✅ The health insurance number is not mandatory. However, it is the best way for patients to identify themselves. When the health insurance number is not provided, then the first name, surname, date of birth, gender and at least one of the contact details must match 100% with the information present in the patient's file.
Unidentified patient
When the information entered by the patient does not correspond to any patient record in Omnimed (due to an absence of a record, a data entry error or because the contact details indicated have not been updated in the patient's administrative center):
- ✅ if your clinic offers one or more services open to the entire population (at least one configured service has no eligibility criteria), then the patient sees only this or these services available online.
- ❌ if your institution offers no services open to the entire population (all services configured have at least one eligibility criteria), a message informs the patient that he or she is not eligible to book an appointment online.
B. Select the type of appointment and specify the reasons for the visit
1. Click on the Consultation category drop-down menu to select the desired service/appointment type.
When selecting a service, a description is displayed to give more details.
ℹ️ The services displayed are configured by the clinic. Certain eligibility rules are attached to them (patient with a file number, with a family doctor at the clinic, etc.). At all times, the patient sees all the services for which he or she meets the eligibility criteria, even if they are not currently available.
2. Indicate the consultation reason in the first field and describe the symptoms a little more, or indicate any other relevant information in the second field.
3. Specify the most convenient time for the appointment, either by choosing the As soon as possible option or by filtering the availability list by date or time of day.
4. Click on the Save and continue button, then on Find an appointment to view the availability of the selected service.
C. Select appointment
At this stage, the next five availabilities for the selected service are displayed. You can view up to 50 availabilities by clicking on See more availabilities.
1. Click on the appointment to select it.
2. Click on Review at the bottom of the page to review and complete the form.
⚠️ Error messages
Clicking on Review may redirect the patient to the availability list and display a message at the bottom of the screen indicating that the appointment is no longer available. This can happen when two people access the same availability for the same service at the same time. The first person to click on Review will block the appointment and it will no longer be available.
When the message No appointment metts your criteria appears on the screen, this indicates that the system has been unable to find availability for the selected service. If a patient cancels an appointment, or if the clinic opens new availabilities, new appointments may become available. If necessary, the patient can contact the clinic directly.
D. Review reservation
At this stage, the selected slot is blocked and cannot be booked by any other patient or by the clinic for a period of 5 minutes. If the patient takes longer than five minutes to book the appointment, the slot may be taken by another person and the patient may be redirected to the availability list again.
- Review the reservation.
- Click on Book at the bottom of the page.
Once booked, a confirmation will appear on the screen. An email or SMS confirming the reservation and a reminder of the appointment may also be sent, depending on the facility's configuration.
If the contact details entered in the appointment form are not already on file, they will be automatically added to the contact details. An email or SMS notification of the booking will be sent to the contact details indicated on the form.
However, the appointment reminder to confirm to the patient that he/she plans to be present is sent to the patient's main contact details (in position 1 in his/her administrative center).
